01/The Problem
Most approval workflows are still running on email threads and goodwill.
Someone fills a form. It lands in an inbox. Someone else needs to review it, but they are waiting on a document from a third person who does not know they are being waited on. A week passes. Nothing moves. This is not a people problem - it is a process infrastructure problem. When your operations depend on grant approvals, funding disbursements, procurement sign-offs, or multi-stakeholder facilitation pipelines, the cost of a stalled workflow is real money and real time. Flowcraft replaces the email thread with a process that runs itself.
02/Functional Overview
Flowcraft gives non-technical teams a visual canvas to build workflows the way they actually think about them - as a sequence of steps, decisions, and handoffs. Drag and connect nodes: a submission triggers a review, an approval unlocks the next stage, a rejection fires a notification with a reason. Conditional logic handles the branching. Deadline rules handle the escalations. Once a workflow is live, Flowcraft tracks every instance. You can see exactly where each submission is sitting, who has acted and who has not, and where bottlenecks are forming. Integrations via webhooks and APIs connect to your existing systems rather than replacing them. For teams managing large application volumes - scheme eligibility checks, funding disbursements, facilitation pipelines - Flowcraft turns a chaotic inbox into a visible, manageable queue.
03/Origin & Rationale
Flowcraft grew out of two separate problems we were solving at the same time. The first was a government startup funding programme in Tamil Nadu - multi-stage application reviews across committees, programme officers, and disbursement teams, running entirely on spreadsheets and email. The second was a proposal we built for a unified AI-native application management platform that would let programme officers configure approval workflows visually, without raising a development request for every process change. Both problems had the same root: operations teams that understood their process perfectly, but had no tool to run it without developer help. What we built - a visual workflow engine with AI-assisted screening, configurable evaluation blocks, and a live status dashboard - solved it for both. Flowcraft is that engine, available for any organisation with the same class of problem.
04 / Proven Deployments
StartupTN - from manual application tracking to intelligent, automated evaluation pipelines.
Tamil Nadu Startup and Innovation Mission (TANSIM), operating under StartupTN, manages multiple funding and evaluation programmes - TANSEED, TANFUND, SC/ST Startup Fund, and TANICORN - each with distinct eligibility criteria, multi-stage review processes, and cross-stakeholder approval chains. These programmes collectively process a high volume of startup applications involving evaluation committees, programme officers, and disbursement authorities.
The situation before: Each programme ran its own disconnected process. Applications came in through web forms and landed in inboxes. Status was tracked in spreadsheets. Evaluation committee members received documents over email. There was no single view of where any application stood, no automated escalation when reviews stalled, and no reliable reporting on processing times or bottlenecks. Every new programme or process change required developer involvement.
Platform build
AI-native application platform: intelligent agents, no-code workflows, unified authentication, and CMS-driven programme operations.
Outcome Impact
AI-assisted workflows reduced manual screening. Leadership gained real-time visibility into processing, bottlenecks, and application volumes.
05 / Deployment Phases
/Phase 01
Map your workflow: We run a scoping session to map your existing process - the steps, the roles, the decision points, the edge cases. Most workflows are simpler to model than teams expect once you draw them out.
/Phase 02
Build and test: We build the workflow in Flowcraft, connect it to your data sources or forms, and test against real scenarios from your operations. Your team validates before anything goes live.
/Phase 03
Go live and monitor: Your team manages submissions through the dashboard. We stay close for the first few weeks and tune based on what the live data shows. You own the workflow and can modify it as your process evolves.
